Vyapar handles stock well for a shop and poorly for a warehouse, and knowing which side of that line you are on saves a lot of wasted effort. It tracks quantities, values, low-stock alerts and item-wise movement, all offline. What it does not do is batch and expiry tracking, serial numbers, or deep multi-warehouse transfers — if those matter, the last section tells you what to use instead.
Steps
Enter opening stock for every item: Set the quantity and purchase rate you currently hold for each item. This is the foundation of every stock report that follows — if opening stock is wrong, everything downstream is wrong, and it is far easier to get right once at the start than to reconcile later.
Set units of measurement correctly: Choose the unit each item is actually sold in — pieces, kilograms, litres, boxes. If you buy in boxes and sell in pieces, set the conversion so purchases and sales reconcile. Getting this wrong produces stock figures that drift and never quite explain themselves.
Add barcodes if you scan at the counter: Vyapar supports barcode scanning for faster billing. Either use the manufacturer barcode on packaged goods or generate and print your own for loose items. This is where most of the counter-speed gain comes from in a busy shop.
Set low-stock alerts per item: Set a reorder level for each item that matters. Vyapar then flags items running low so you reorder before you run out. Set these for your fast movers first rather than trying to set them for everything — the long tail rarely justifies the effort.
Record purchases, not just sales: Stock only stays accurate if incoming goods are entered too. Record purchase invoices as they arrive rather than in a monthly batch. This is the discipline that separates a system that works from one that gets abandoned after three months.
Use stock adjustment for damage and shrinkage: When stock is damaged, expired, taken for personal use or simply missing, record it as a stock adjustment rather than leaving a discrepancy. Untracked shrinkage is the usual reason a physical count does not match the system.
Run a physical count and reconcile: Count physical stock against system stock at least quarterly, and adjust for the difference. Do it more often for high-value items. A system nobody verifies drifts quietly until nobody trusts it.
Read the stock reports: Use the item-wise stock report to see what you hold and what it is worth, and the stock movement report to see what actually sells. That second report is the one that pays for itself — most shops carry slow-moving stock they would drop if they could see it clearly.

Can Vyapar track batch numbers and expiry dates?
Not properly, and this is its clearest limitation. Vyapar tracks quantities and values but is not built for batch-wise stock with expiry dates. Does Vyapar support multiple godowns or stores?
Support is limited compared with dedicated inventory systems. How do I do stock adjustment in Vyapar?
Use the stock adjustment function to increase or decrease an item's quantity with a reason — damage, expiry, personal use, or a correction after a physical count. Record the reason every time. Adjustments without reasons are indistinguishable from errors when you review them six months later.
Can Vyapar handle inventory for an online store?
Not across channels. Vyapar tracks the stock in your shop; it does not sync with Amazon, Flipkart or Shopify, so selling the same stock online and offline will cause overselling.
