Zoom is the world's most popular video meeting app — used for office meetings, online classes, webinars, and interviews. This guide covers everything a first-time user needs: downloading Zoom, signing in, joining and hosting meetings, sharing your screen, muting, and recording. It works the same on Windows laptop, Mac, Android, and iPhone. National IT Service is an authorised Zoom partner in India — if your team needs paid Zoom licenses (unlimited meeting time, cloud recording, more participants) with GST invoice, we supply them with INR billing.
Step 1 — Download and install Zoom: On a laptop, go to zoom.us/download and get "Zoom Workplace" (the desktop app). On mobile, install "Zoom Workplace" from the Google Play Store (Android) or App Store (iPhone). Installation takes 1-2 minutes. You do NOT need to install anything to join a meeting from a browser, but the app gives the best experience.
Only download from zoom.us or the official app stores — avoid third-party APK sites
The app is free; a Zoom account is also free to create
Step 2 — Create a free account and sign in: Open Zoom, click "Sign Up Free", and register with your email, Google, or Apple account. Verify your email, set a password, and sign in. A free (Basic) account lets you host meetings up to 40 minutes with up to 100 participants, and join any meeting for unlimited time.
Use your work email so meetings look professional
Free plan caps group meetings at 40 minutes — upgrade to Pro to remove it
Step 3 — Join a meeting: To join, click the Zoom meeting link someone shared, OR open the app, click "Join", and enter the 10-11 digit Meeting ID plus passcode. Allow camera and microphone access when your device asks. You can join with video on or off.
Test your camera/mic in Settings > Video/Audio before an important call
Join 2-3 minutes early for interviews or client calls
Step 4 — Host your own meeting: Click "New Meeting" to start instantly, or "Schedule" to pick a date/time and get a shareable link. As host you can mute participants, admit people from the waiting room, share your screen, and record. Send the invite link via WhatsApp, email, or calendar.
Enable "Waiting Room" so only invited people join
Schedule recurring meetings once instead of creating a new link every time
Step 5 — Use the in-meeting controls: The toolbar at the bottom has everything: Mute/Unmute (microphone), Start/Stop Video (camera), Share Screen, Chat, Reactions, Participants, Record, and Leave. Hover over each icon to see its label. Press the spacebar to temporarily unmute (push-to-talk).
Mute yourself when not speaking to avoid background noise
Use "Reactions" to raise your hand or give a thumbs-up without interrupting
Step 6 — Share your screen and record: Click "Share Screen" to present a document, slides, or your whole desktop. Click "Record" to capture the meeting — local recording saves to your computer; cloud recording (paid plans) saves online with a shareable link and auto-transcript.
Cloud recording and meetings longer than 40 minutes need a paid Zoom license
Tick "Optimize for video clip" when sharing a video so it plays smoothly
Frequently Asked Questions
Is Zoom free to use?
Yes. The Basic plan is free and lets you host meetings up to 40 minutes with up to 100 participants, and join any meeting for unlimited time. For unlimited meeting duration, cloud recording, 300+ participants, and admin controls you need a paid plan (Pro, Business, or Business Plus). As an authorised Zoom partner, National IT Service supplies paid licenses in India with INR billing and GST invoice.
How do I use Zoom on a laptop vs a phone?
The steps are identical. On a laptop, download the Zoom Workplace desktop app from zoom.us/download. On a phone, install Zoom Workplace from the Play Store or App Store. The controls (mute, video, share, record) are in the same place; the phone just shows fewer participant thumbnails at once.
Why does my Zoom meeting end after 40 minutes?
That is the free-plan limit for group meetings (3+ people). The meeting ends automatically at 40 minutes, though you can restart it with the same link. To remove the limit permanently, upgrade to Zoom Pro (₹1,100/user/month) or higher — we can set this up for your whole team with a GST invoice.
Do I need to download Zoom to join a meeting?
No. You can click "Join from your browser" on the meeting link page — no install needed. But the desktop or mobile app is more reliable and unlocks features like virtual backgrounds, breakout rooms, and better screen sharing.
